Budget
Hi Elizabeth - Sorry for the long delay in getting back to you about
your budget. Here's what we can offer:

The Foundation cannot support all 10 of you for this program. Over
$10,000 is a lot of money for one program, and 10 people is a lot of
staffing for one program. I know that everyone WANTS to participate this
summer, but I think it's unrealistic to expect that everyone will have a
substantial role on a daily basis when you would have, at most, a 1:2
ratio of participants to counselors. This would be excessive even in
groups with high-risk kids.

We will support 5 of you for this program. Other changes:

$500 is excessive for the training you want, and I don't think that NCCJ
has any local resources. There are folks on campus who are quite skilled
in diversity training (Tim Sams, for example), and I can suggest other
excellent local trainers who will do a good basic program for you. Also,
I suggest that you get as many folks as possible to sign up for the
Training for Social Action Trainers, which will also cover much of the
material on diversity. And it's free.

Please explain the line Resources - cost to participants - $120. Are you
charging for the program? What does this mean?

It is unlikely that Sharples will underwrite your lunches, so I built
that back into the approved budget.

The maximum amount Swarthmore Foundation will offer for summer living
expenses is $125/week to cover room, board, utilities and personal
expenses. I know that this will not cover living in the dorms, but I'm
really wrestling with a fairness issue here. All other summer grantees
will receive the same $125/week living expenses, but if we underwrite
your group staying in the dorms (even 5 of you), it will reduce the
funds available for other summer grant recipients. We will fund you for
4 weeks since it is likely that you'll need to commit to a full month
where ever you live. (If you don't need a full 4 weeks, you can shift
remaining funds to another budget line.) Also, it shouldn't be too
difficult for you to find cheaper summer housing, especially if you 
start looking now.

We should talk soon about how the checks should be cut. My preference
would be that you identify one person as the grantee who will manage
these funds and keep track of grant-supported expenses for final
reporting. That person can make disbursements as needed for personal 
living costs.

Finally, you should poll your group about which members are eligible for
federal work study. If ALL the folks working on the project this summer
are FWS elgible, this can increase your weekly income such that you will
have more money for living expenses. But ALL counselors must be eligible
for this to work.
